How have we Got your Information?

You would have filled in a library membership form, either a hard copy or electronically, or you may have given us your information verbally.

What Information do we Collect?

Our overall policy is to collect the minimum personal data that we need to provide you with the Library Service. This includes your name, role, home address, service address, and phone number.

What do we do with your Information?

We use your information to create a Library account for you on our Library Management System (LMS). The original form you completed is then destroyed. Your data is processed by Library staff only and is then stored on the LMS provided by Soutron. You may view Soutron’s privacy policy here. The library is not responsible for the privacy policy of Soutron.

In addition Library members can request an Athens password to access Library resources off-campus. By doing so you agree to the practice of the Library to electronically submit your personal data to Eduserv (OpenAthens). The data submitted will include your name, your work address, your role, your phone number and your email address. It is your responsibility to satisfy yourself as to the adequacy of the privacy policies of Eduserv.. The library is not responsible for the privacy policy of Eduserv.

How Long do we Keep your Information?

We keep personal data for as short a period as possible and take good measures to protect it. We’re always happy for you to check the data we have about you and we’ll delete it if you want us to. However, if you request the Library staff to remove your information this would mean we would not be able to provide you with a full Library service. Restrictions on borrowing Library items would apply.

Emails from the Library Service

As part of the Library service we send out email alerts about new journal articles or about new books in the Library. You can choose to unsubscribe to these at any time. All emails will contain an ‘unsubscribe’ facility.

How you may View or Change your Information

You have the right under the GDPR 2018 to complain if you are unhappy about the Library’s handling of your personal data, and you have the right to have any of your personal data corrected, restricted or deleted upon request. If you chose to have your data deleted the library will not be able to provide a full Library service. Restrictions on borrowing Library items would apply.
